How to delete or archive a file

How to delete a file from a page

Use these instructions to delete files from intranet pages. Files can display in two different ways and there are two related processes for deleting a file.

Delete file from attachment dropdown menu

On most pages, attachments will display in a list below the page content and above any comments. The file listings will appear as large-text links when there are just a few files on the page, and compact small-text links when there are folders or many files on the page. Each file listing includes an icon indicating the file type, file name, and some other basic information.
  • Step 1: Click the down arrow on the far right of the file name to open the dropdown menu.

  • Step 2: Click "Delete" in the menu.
  • Step 3: Click "OK" in the small pop-up box that appears. The file will disappear from the page.

Edit properties on attachment page to delete file

On a section or group page that is in thumbnail layout, files show as large icons and file names, with no other file information. In that case, follow these instructions.
  • Step 1: Click once on the file title or icon to get to the attachment page.
  • Step 2: Click "Delete" in the upper right of the page.
  • Step 3: Click "Delete" in the small pop-up box that appears. The parent page will refresh with the attachment no longer showing.

Archive or restore a file

Use these instructions to archive or restore a single file. For more information on archiving, see how to archive and delete a page.
  • Step 1: Navigate to the page the file is on.
  • Step 2: Click the down arrow on the far right of the file name to open the dropdown menu.
  • Step 3: Click "Archive" or "Restore". The action will be applied.

Delete, archive, or restore multiple files at once in compact view

When files on a page are in compact view (small-text links), the dropdown menu "Bulk actions" appears above the list of files. This menu allows you to delete, archive, or restore multiple files at once.
  • Step 1: Select the files you want to change:
    • To select multiple consecutive files/folders: Click on the first file/folder, then hold the SHIFT key and click on the last file/folder.
    • To select multiple non-consecutive files/folders: Click on the first file/folder, then hold the CTRL key and click on each file/folder you want to select.
  • Step 2: Click "Bulk actions" on the right of the grey bar at the top of the list of files/folders. This opens a dropdown menu.

Hot intranet tip!

How to save an accidentally deleted page or file

Accidentally deleted a file and now you want it back? Fear not. Your intranet site administrator can un-delete files and pages. Here's what you can do:
  • Contact your site administrator immediately with the following info (and no matter how frustrated you may feel, be super nice to your site admin!):
    • List the name of the file, or at least the topic of the file if you don't remember the exact name
    • Note the approximate time you deleted the file
  • If all goes well, your site administrator can un-delete the file
If you find yourself asking your site admin to un-delete files and pages for you frequently, please consider getting him or her some fancy chocolates or a six pack of good beer as a thank you.
