How to add & edit documents in SharePoint libraries

Use these instructions to add folders and files to SharePoint Document Libraries, rename and edit files and delete files. You can embed SharePoint libraries on any page of your ThoughtFarmer intranet and allow quick and easy file access. When you edit or add files via the intranet they are saved directly to the SharePoint library.

Click "Add folder" to add new folder 

You can add folders to SharePoint libraries from the intranet, but to delete a folder you must go directly into SharePoint. You cannot delete a folder from an intranet page.
  • Step 1: Navigate to the page with the SharePoint library.
  • Step 2: At the bottom of the library click "Add folder" to bring up the pop-up box.
  • Step 3: Type in the name of the new folder and click the "OK" button. The new folder will appear in the library.

Click "Add document" to add new file

  • Step 1: Navigate to the page with the SharePoint library.
  • Step 2: Click on folders to open them and navigate to the section in the library where you want to add the document.
  • Step 3: At the bottom of the library click "Add document" to bring up the pop-up box.
  • Step 4: The checkbox "Overwrite existing file" is selected by default. If you are adding a new version of a file, and wish the existing file to be overwritten, leave the box checked. If you do not want to overwrite an existing file of the same name and file type, uncheck the checkbox.
  • Step 5: Click the "Browse" button in the pop-up box to open a file browsing window.
  • Step 6: Find a document, click once on it and then click "Open" in the file browsing window.
  • Step 7: Click "Add" in the "Add Document" pop-up box. The file will appear in the library.

Rename file via attachment dropdown menu

  • Step 1: Navigate to the page with the SharePoint library, and navigate to the file you want to rename.
  • Step 2: Click the small down arrow to the right of the file listing to bring up the attachment dropdown menu and then click "Rename...." The Rename pop-up box will appear.
  • Step 3: Type in a new document name and then click the "OK" button in the pop-up box.
  • Step 4: Click "OK" again in the dialogue box that says "You have successfully renamed the document." The updated file name will appear in the library. 

Edit & save a file via attachment dropdown menu

  • Step 1: Navigate to the page with the SharePoint library.
  • Step 2: Click the small down arrow to the right of the file listing to bring up the attachment dropdown menu and then click "Edit file." The file will open on your computer in the relevant application.
  • Step 3: Edit the file on your computer.
  • Step 4: When done editing, first "Save" the file and then close it. The updated version will save directly back to the SharePoint library. The document listing on the intranet page will refresh to say "Updated 2 seconds ago" or something similar.

Delete a file via attachment dropdown menu

  • Step 1: Navigate to the page with the SharePoint library.
  • Step 2: Click the small down arrow to the right of the file listing to bring up the attachment dropdown menu and then click "Delete file."
  • Step 3: Click "OK" in the dialogue box that appears. The file will disappear from the library.
