How to add a photo gallery

How to add a gallery page for images

Use these instructions to create a photo gallery and fill it with image files. With just a click transform a basic page on your ThoughtFarmer intranet into a gallery that showcases images. You can click on a photo to see a larger version of it and to scroll from one photo to the next.

First add a new page

  • Step 1: Navigate to where you want to create the new page and click "Add" in the top right.
  • Step 2: Give the page a clear title. It's a good bet to include "gallery" or "photos" in the page title.
    • Example: Photos of Social Intranet Summit Vancouver 2011.
  • Step 3: Click on the grey page type dropdown to the right of the page title and select the "Photo Gallery" page type.
  • Step 4: On the right side under Settings, click on "Edit" beside "Security". The Security tab of the Settings dialog will appear. Make sure all the right people have edit permission on the page. (See complete instructions on how to change permissions to view & edit.) Click "Done" when you are finished.
  • Step 5: Click "Save" and your Gallery page will appear, ready for images to be added.

Attach photos

Adding photos to a gallery is similar to attaching files on a page.
  • Step 1: Click "Upload an image" at the bottom left of the middle section of the page.
  • Step 2: Click "Browse" to locate image files on your computer (common image file extensions: JPEG, PNG, GIF).
  • Step 3: Select the photos you want to upload and click "Open" in the file browsing window. Wait a moment while the picture uploads. The page will reload with the new images displayed in the gallery.
You can also add photos to a gallery page directly from an iPhone. To learn more, see how to add a photo from an iPhone.

Change photo titles

There are two ways to change photo titles, from the image preview, and from the image's file attachment page. For both methods you must have edit permission on the image's file attachment page. It is simpler to change the titles from image preview, however if you have multiple languages enabled on your intranet and you want to change the title in multiple languages (or for a language that is not your default language) you must edit the title from the file attachment page.

To change photo titles from image preview:
  • Step 1: Click on a photo to go into image preview.
  • Step 2: Click on the photo title. The title becomes an editable text box.
  • Step 3: Enter the new title.
  • Step 4: Click "Save" to the right of the title.
  • Step 5: If you want to change the title of other photos, scroll through the photos using your arrow keys, or by clicking the arrows on each side of the image preview box.
To change photo titles from file attachment page:
  • Step 1: Click on the photo to go into image preview.
  • Step 2: Click "View file page" under the photo title. This takes you to the file attachment page.
  • Step 3: Click "Edit" on the upper right side of the page. This takes you into edit mode.
  • Step 4: Edit the title of the image in the "Title" box.
  • Step 5: If you want to edit the title for multiple languages, select the appropriate language icon on the top right and edit the title for each language.
  • Step 6: Click "Save" or continue editing.

Reorder images on a gallery page

On a photo gallery page with attached images, you can reorder the images in various ways.
  • Step 1: On the right of the gallery page, click "Reorder images".
  • Step 2: Reorder the images either by:
    • Click to drag-and-drop the images into the order you want, or
    • Select a sort order from the "Sort by" menu at the top of the dialog. You can sort by title or date created.
  • Step 3: Click "Save changes" at the bottom of the dialog.

Delete an image from a photo gallery

Images on photo gallery pages are just attached files that are displayed in a different way than on other page types. So deleting an image in a photo gallery is different from deleting an image on a page. To delete an image from a photo gallery:
  • Step 1: Go to the photo gallery page.
  • Step 2: Click on the photo you wish to delete. The image previewer will open.
  • Step 3: Click on "View file page" under the image title in the previewer.
  • Step 4: Click "Delete" on the right side of the file page.
  • Step 5: Click "Delete" in the pop-up to confirm the deletion.

Hot intranet tips!

#1: Use arrow keys to scroll between photos

When you click on an image in gallery view to see the larger image preview, use the right and left arrow keys on your keyboard for easy scrolling through photos. No need to click the arrows beside the image on your screen, but you still can if you want!

#2: Create a gallery with several sections

The first time you create a gallery you'll be surprised at how cool it is. But you should plan for the future. Maybe right now you only have a few photos to upload, but soon you'll have photos on different topics, from different company events, etc. So get ahead of the game by creating a gallery with several sub-sections, similar to folders (but much cooler of course!).
  • Step 1: Create a main photo landing page, under which you will add many different photo galleries. Choose the "Section" page type and the "Thumbnail" layout for this main page.
  • Step 2: Add subpages for each event or category of photos to the main photo landing page. Choose the "Gallery" page display option on each subpage.
  • Step 3: Upload your event or category photos on the respective gallery pages.
When you're done you'll have a landing page for all your photos. Visitors can see what galleries are available with a glance at the thumbnails, and then click a thumbnail to browse through your photo gallery.
