How to select & upload a profile photo

Profile photos make the intranet more human

Use the instructions in this section to upload or replace a photo, select a great profile photo in the right file format, and avoid common profile photo mistakes. You'll be amazed at how much more alive and personal the intranet feels when comments and recent activity are accompanied by thumbnails of profile photos. A photo on your profile page makes you so much more real to colleagues who work in different offices and don't get to see you in person. It will also make it easier for visiting colleagues to recognize you.

Click "Edit profile" to upload or replace profile photo

Profile photos may come in all shapes and sizes, but to keep the layout looking attractive on profile pages, they display in a pre-determined square area on the left-hand side of the page. Since your whole photo may not fit in that area, when adding a profile photo you can crop the photo to choose what will display.
  • Step 1: Navigate to your profile page and click "Edit" in the upper right-hand section of the page.
  • Step 2: Click the "Bio & photo" tab, and under the "Photo" heading, click "Choose profile photo" to open the file browser pop-up box.
  • Step 3: Locate the image file you want to use and click "Open" in the file browsing window. It may take a few moments for the photo to upload - it will show under the "Choose profile photo" button when it has uploaded.
  • Step 4: A highlighted square will automatically be selected on the uploaded photo. Drag the square to select the area that you want the photo to crop to. Drag the grab handles along the edges to resize the crop area. The portion of your photo that will show on your profile page displays in a square to the right of the uploaded photo.
  • Step 5: Continue editing or click "Save changes" at the top or bottom of the page. Your photo will now appear at the top of your profile page.
If you don't upload a profile photo, an image of a circle with your initials in it will show, or another generic profile photo chosen by your intranet administrator.

Photo details

  • Close enough to recognize face: Use a photo that shows your face clearly. You want someone who has never met you before to see you for the first time and say "I recognize you from your profile photo!"
  • Choose the photo crop: The default crop is centered in the photo vertically and horizontally, but you can change the crop to focus on your face, and crop out unwanted parts of the photo.
  • Choose for Active Directory: Your intranet can be set up to sync its profile photos with your organization's Active Directory (AD). If this is the case, you'll want to pick a profile photo that will work with AD's photo restrictions. Photos in AD must be 96x96 pixels or smaller, and 100kb or smaller. You can upload a larger photo, but it's size will be reduced before syncing with AD, and this may affect the quality of the photo if AD uses it for other applications. Please note that the photo sync does not support animated GIFs for profile photos.

File formats for profile photos

Photo files come in many different formats, each with it's own special file extension. But not all image formats work well on the intranet.

Great!: .JPG, .JPEG, .PNG, .GIF.

Oops!: .TIFF, .BMP, .DIB.
